Talk Once, Document Forever
You came for a plan and the confidence to build the rest. It's all here: the tracking sheet, the template pack, the fourteen things every procedure needs, the tools, and the prompt that checks your work. Nothing is gated and nothing needs your email.
Dictate, Design, Deliver
Three steps, in that order. Everything below is built around them — the tracking sheet has a date column for each one.
1 · Dictate
Say it, write it, or record it — whatever gets it out of your head. Decide first who it's for and where it will live, because that changes what you capture. Messy is fine. Missing is not.
2 · Design
Let a tool do the shaping — format, combine, tidy, fill the gaps. An AI chatbot for anything spoken or written; a capture tool for anything on a screen. You aren't writing. You're editing.
3 · Deliver
Put it where the person will actually look for it, on whatever device they actually carry. How protected does it need to be? Do you need to know who has read it?
Then keep it true
A procedure nobody has read since the day it was written is worse than none, because people trust it. Give every one an owner and a review date.
The SOP tracking sheet
Fourteen tabs. One row per procedure, and the status works itself out from the dates you enter — so you can see at a glance which ones are stuck and where.
A tab for your industry
Retail, professional services, trades, health and wellness, food and hospitality, agriculture, education, property, manufacturing, nonprofit — plus the essentials nearly everyone needs. Mark each one Yes, Later or No; the Yeses become your list.
The tracker itself
Name, owner, where it fits in the customer journey, and a date column for Dictate, Design and Deliver. Next review is set six months out automatically. Finished ones turn green; essentials you haven't started turn pink.
Downloads straight to your device — no Google account needed. Prefer to keep it in Drive? Save your own copy.
The template pack
Twelve procedures most businesses need, already written in the fourteen-section format. Put in two words and copy a complete draft. Nothing is sent anywhere and nothing is gated.
Build your first procedure now
Pick one below. Anything in [square brackets] is yours to replace or delete.
Use a role, not a person's name. People leave; roles don't.
No email needed and nothing to sign up for. If you want more like this, my weekly newsletter is one email a week about using AI at work. One a week, not one a day, and it isn't a sales sequence. You can leave in one click.
The fourteen things every procedure needs
Tap any line to see what it means. Check them off as you write. If you can't answer one, that's the part that causes the problem later.
0 of 14 Nothing checked yet. Start anywhere.
Your check marks stay on this device. They aren't sent anywhere.
The tools, and when each one is wrong
You don't need all twenty-two. Open a group, pick one, and start. The groups follow the method: dictate it, design it, develop it, deliver it.
Each tool is marked by how much AI it uses. The word tells you, not the colour:
AI Some AI No AICheck your work
Paste your finished procedure into any AI tool, then paste this underneath it.
Here is an SOP for my business. Give me 4 perspectives of how learners might understand the SOP. Rate the SOP's effectiveness on a 5-star scale. Make recommendations for improvements. Then regenerate the SOP using your recommendations.
Read what comes back before you use it. You know your business; the tool doesn't.
See a finished one
A real procedure, written the way the checklist describes, with nothing left in brackets. Worth two minutes before you write your own.
Seven finished procedures for one business, all in one document — welcoming a guest, the waitlist, complaints, closing out the day, records, payments, and a new hire's first shift. Make your own copy if you'd rather work in it than read it.
If you get stuck
Most people won't need this. The pack is built to be used on your own. But if one procedure has you stuck, book a short call — or just email me.
Want the thinking underneath all this?
Dictate, Design and Deliver is the short version — enough to get your first procedures written. The full framework, the C.A.L.M. AI Navigator™, is in Prompt & Circumstance: how to decide what to hand an AI tool in the first place, and how to judge what comes back.
Find it on Amazon — or pick it up locally at TBR Book Bar & Café in Fruita, Colorado.
